Filled in with a real example: a $6.4M Miami private-pay agency, before working with us.
You need 9 new clients a month to stay level. Last month: 8.
Census is shrinking: about 4 fewer clients by Day 90.
The same Miami agency went from 8 to about 12 new clients a month in 90 days, and census turned from shrinking to growing. Read the Miami case →
196 clients at Month 12. On your current pace: 152.
Miami, 90 days: 234 added weekly care hours, worth $413,712 a year at $34 an hour. Read the Miami case →
216 more care hours a week you could say yes to. About 10 clients’ worth.
Hours turn into revenue only when they match a client’s schedule and area, so recruiting and intake have to move together.
Phoenix, 90 days: 19 more caregivers on the roster after turnover, and care hours turned down fell from 380 to 92 a week. Read the Phoenix case →

How the numbers work
Three simple formulas, nothing hidden.
01 · Stay level
Clients ending care each month
Active clients divided by average months on service. That is how many new clients you need every month just to keep census where it is.
02 · Grow
New clients minus clients ending care
Counted month by month for a year. The calculator builds up to your new number over about 90 days, then holds it, because real intake changes take time.
03 · Revenue and caregivers
Hours, at your own rate
Added weekly care hours × your bill rate × 52 weeks. Caregivers needed = added weekly hours ÷ hours per caregiver.
Where to find the inputs: active clients, hours and bill rate are in your scheduling or billing system. If you don’t track average months on service, divide last year’s total client-months by the number of clients you served. The results are estimates from the numbers you enter, not a forecast or a promise of results.
